Who We Are
MyMT Manager ("MyMT," "we," "us," or "our") is operated by Batavia Consulting LLC, a Pennsylvania limited liability company. We provide a web-based informational tool that helps prospective college students and their families research and track applications to BFA Musical Theater and Acting programs.
This Privacy Policy explains what information we collect when you use MyMT, why we collect it, how we use it, and the choices you have. It applies to www.mymtmanager.com, app.mymtmanager.com, and any related services that link to this policy.
Information We Collect
2.1 Information You Provide Directly
- Account information. When you create an account, we collect your name, email address, and a password. Coach Users may also provide a professional affiliation.
- Profile and preference information. Optional details you add to personalize the Service (for example, your student's graduation year, program type interests, or display preferences).
- User Content. Anything you create or save in MyMT — school lists, application trackers, scorecards, comparison rankings, notes, and similar data.
- Payment information. If you purchase a paid feature, our payment processor (currently Stripe) collects your payment details on our behalf. We do not see or store your full card number; we only receive a transaction confirmation and a limited summary (e.g., card brand and last four digits) for receipt and support purposes.
- Communications. If you email us for support or feedback, we keep that correspondence so we can help you and improve the Service.
2.2 Information We Collect Automatically
- Usage data. Pages you visit, features you use, and similar interaction data that help us understand how the Service is being used.
- Device and log data. Your IP address, browser type and version, operating system, referring URL, and timestamps. This is standard web-server log information.
- Cookies and local storage. See Section 6.
How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service.
- Authenticate you, secure your account, and prevent abuse.
- Process payments and provide receipts for paid features.
- Send transactional emails (account confirmations, password resets, receipts, important Service notices).
- Send marketing and informational emails (newsletters, launch announcements, product updates) — only where permitted by law. You can opt out at any time using the unsubscribe link in any marketing email.
- Understand how the Service is used so we can fix bugs and improve features.
- Respond to your questions, feedback, and support requests.
- Comply with our legal obligations and enforce our Terms of Use.
How We Share Your Information
We do not sell your personal information. We share it only in the limited circumstances below:
- Service providers. We share information with third parties that perform services on our behalf — for example, hosting, payment processing, email delivery, and analytics — under contracts that require them to protect your information and use it only for the services they provide to us. See Section 5 for the specific providers we use.
- Coach Users (with your consent). If you choose to share information with a coach, counselor, or other professional through the Service's sharing features, that person will be able to see what you've shared. Sharing is opt-in and you can revoke it at any time.
- Legal compliance and safety. We may disclose information when we have a good-faith belief that doing so is required by law, necessary to enforce our Terms, or necessary to protect the rights, property, or safety of MyMT, our users, or others.
- Business transfers. If MyMT is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction. We'll notify you (for example, by email or a notice on the Service) before your information becomes subject to a different privacy policy.
We may also share aggregated or de-identified information that cannot reasonably be used to identify you.
Third-Party Services We Use
We use a small number of trusted third-party services to operate MyMT. Each has its own privacy policy that governs how it handles data.
- Plausible Analytics — Privacy-friendly website analytics. Plausible does not use cookies and does not collect personal information; it provides us with aggregate usage statistics. Learn more at plausible.io/privacy.
- Meta (Facebook) Pixel — A marketing/advertising pixel that helps us measure the effectiveness of our advertising and reach interested audiences. The Pixel may set cookies and collect device and browsing information. You can learn more about Meta's data practices and opt-out options at facebook.com/privacy/policy. You can also adjust ad personalization in your Meta account settings or use your browser's tracking controls.
- Payment processor (Stripe). Used to process payments for paid features. Stripe collects and stores payment information directly; we receive only a transaction confirmation and a limited summary. See stripe.com/privacy.
- Email service provider. We use a third-party email service to send transactional and marketing emails. The provider processes your email address and message metadata on our behalf.
- Cloud hosting and infrastructure. The Service runs on standard cloud infrastructure. Hosting providers may have access to data we store with them solely for the purpose of providing hosting services to us.
If we add or change a significant third-party service, we'll update this list.
Cookies and Local Storage
We use cookies and similar technologies (including browser local storage) for the following purposes:
- Strictly necessary. To keep you signed in, remember your session, and protect against fraud and abuse.
- Preferences. To remember settings you choose — for example, your theme preference (dark or light) is stored locally in your browser.
- Analytics. Plausible does not use cookies. Our server logs and any other analytics are described in Section 2.
- Advertising. The Meta Pixel may set cookies for advertising measurement and audience building. See Section 5 for opt-out information.
You can control cookies through your browser settings. Blocking essential cookies may make parts of the Service stop working.
Email Communications
We send two kinds of email:
- Transactional emails — account confirmations, password resets, receipts, audition or deadline reminders you've opted into, and important Service notices. These are required for the Service to work, and you can't opt out of them while you maintain an account.
- Marketing and informational emails — newsletters, launch announcements, product updates, and similar messages. You can unsubscribe at any time using the link in any marketing email. Unsubscribing from marketing emails will not affect transactional emails.
We comply with the U.S. CAN-SPAM Act. We will not share or rent your email address to unrelated third parties for their own marketing.
Data Retention
We keep your information for as long as your account is active and as needed to provide the Service. If you delete your account, we will delete or de-identify your personal information within a reasonable period (typically within 30 days), except for information we are required to retain for legal, accounting, tax, fraud-prevention, or dispute-resolution purposes. Backups and disaster-recovery copies may persist for a limited additional period before being overwritten.
Aggregated or de-identified information that can no longer be associated with you may be retained indefinitely.
Your Choices and Rights
You have the following choices regarding your information:
- Access and update. You can view and update most of your account information directly in the Service.
- Delete your account. You can request deletion of your account and personal information at any time by emailing support@mymtmanager.com. We will confirm and process the request within a reasonable time, subject to the retention exceptions in Section 8.
- Opt out of marketing email. Use the unsubscribe link in any marketing message, or email us.
- Browser controls. Use your browser to manage cookies, do-not-track signals, and similar privacy settings.
- Ad personalization. Manage Meta's ad-personalization settings through your Facebook account, or use industry opt-out tools such as the NAI opt-out and the DAA WebChoices tool.
Depending on where you live, you may have additional rights under applicable law. See Section 11 for California.
Children's Privacy
MyMT is not directed to, and is not intended for use by, children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us at support@mymtmanager.com and we will promptly delete it.
Users between 13 and 17 must have a parent or legal guardian review and agree to our Terms of Use and this Privacy Policy on their behalf before using the Service.
California Residents (CCPA)
If you are a California resident, the California Consumer Privacy Act (as amended by the CPRA) gives you the following rights with respect to your personal information:
- Right to know. You can ask us what categories of personal information we collect, the sources of that information, the purposes for which we use it, and the categories of third parties with whom we share it.
- Right to access. You can request a copy of the specific pieces of personal information we hold about you.
- Right to delete. You can ask us to delete personal information we have collected from you, subject to certain exceptions.
- Right to correct. You can ask us to correct inaccurate personal information.
- Right to opt out of sale or sharing. We do not sell your personal information, and we do not share it for cross-context behavioral advertising in a way that requires an opt-out under the CCPA.
- Right to non-discrimination. We will not discriminate against you for exercising any of these rights.

Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information — including encryption in transit (HTTPS), encrypted password storage, and access controls. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
If we become aware of a data breach affecting your personal information, we will notify you and applicable authorities as required by law.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page and update the "Effective Date" at the top. For significant changes, we will also notify you by email or through an in-app notice. Your continued use of the Service after an updated policy is posted means you accept the changes.
